Re: [adoptium-wg] Action Required: Review Charter Update: Conversion of Working Group Participation Fees from USD to Euros for existing members in 2027
|
Good afternoon,
I am pleased to share that the charter update, which includes the fee conversion from USD to EUR and the addition of the new tier for Enterprise members with under 10M in revenue, has been approved.
As a reminder, 2026 invoices for current members will continue to be issued at the existing USD fees. The new fee structure will apply to new members in 2026 and to all current members starting in January 2027.
Best regards,
Carmen Delgado

Good afternoon,
Just a reminder that today will be our first SC of 2026; the remaining topic is the voting on the fee conversion from USD to EUR.
See you in 2 hours from now, and Happy New Year!

Dear Adoptium SC and WG members,
As discussed on today's call, we are sharing the proposed charter update to convert Working Group participation fees from USD to EUR for your review. This proposal will be put to a vote during our first 2026 call on January 8th.
To summarise our discussion:
- We calculated the exchange rate based on a one-year average and rounded up for the proposed EUR fees.
- While reviewing the fees, we noticed that the Enterprise Fee tier for organisations under 10M was missing, and we have included a suggested fee for this category.
Thank you all for your time and input. And happy holidays,
Carmen Delgado

Dear Adoptium SC Members,
Following up on our Steering Committee meeting on November 27th, we have collected feedback from most of our members, and the current proposal did not achieve the required supermajority.
The suggestion was to follow a 2-step process:
First: Change the Charter Fees from USD to EUR, based on a new exchange rate, to be compliant with the Eclipse Foundation bylaws. This needs to be done for new members in 2026.
Second: Create another proposal to cover the need to increase the Working Group members' fees.
Based on this resolution, we will prepare a new proposal.
Thank you for your attention to this matter.

Good afternoon,
Thank you to everyone who has provided feedback on the Working Group Charter Update proposal.
Based on the responses, we will defer the electronic vote and continue the discussion at our Steering Committee meeting tomorrow, November 27th.

Hi Carmen and everyone,
I prefer the second option – need further clarification before voting,
especially to understand why this adjustment is necessary and whether there are other possible options to reduce costs.
Thanks!
Sanhong
Dear Adoptium SC Members,
Following up on our Steering Committee meeting on November 13th, the vote on the Working Group Charter Update did not achieve the required supermajority.
The proposal is to convert the membership fees from USD to EUR. This conversion maintains the nominal fee value, which at the current exchange rate represents approximately a 15% increase. This adjustment is necessary as membership fees have remained unchanged since the Working Group's creation, despite rising operational costs.
An additional consideration, given the late date in the year and in response to members feedback, it is hard for members to even discuss this change with their management and it is becoming hard to manage this change for the Eclipse Foundation as well. The fee update is scheduled to take effect for new members starting in 2026 and for existing members starting in 2027.
Please select your preferred course of action below and respond via this email thread:
- Proceed with the electronic voting process, as agreed on the previous SC call. If this option is selected, please ensure your vote is submitted within the next 7 business days (+1, -1 or 0). This option will be open to all voting members: Strategic members (Azul, Rivos, Google, IBM, Alibaba, Microsoft) and the Enterprise/Participant members representative (Fujitsu, iJUG).
- Defer the decision to the next Steering Committee meeting on November 27th.
Thank you for your attention to this matter.
