Hi,
couldn't we "hijack" the existing voting system which already
included in the eclipsecon website but is available only for PC
members and make sure anybody which is logged in can use it ?
We, as PC could use a google spreadsheet for the voting and keep
the "in system votes" for the community.
(I'm just assuming that it would be technical simpler)

For the "real votes", several things prevent it to happen:
- the usage of an external system forces people to quit the econ website
- an external system uses a free service with a ToS that some people may think is unacceptable.
- I prototyped the voting system with the automatic creation of the voting form from a snapshot of the submissions database. It is not directly connected to the database. So It would require manual updates for each new submission (or on a regular basis) for the form to show an up to date list of submissions...
I would also prefer a "real vote", but this would need to be directly supported by the website and this is not doable in the short period of time we have before the CfP opening.

We could communicate that. It might even motivate people to submit early - to get more votes from the community.
Of course we could also use the comments and try to get people to put a “+1” or something like that into it, but I would guess that a “real vote” would attract more people to vote.

So it seems that everyone agree with the track and theme days. Good. I will send you draft descriptions shortly.
Regarding the voting, Anne informed me of something I have overlooked. We can't give some time to the community for the voting, either for the early birds or even after the CfP deadline. So I propose we go for the KISS solution: comments on the submissions as soon as the CfP open. This way, community voting will close pretty much at the same time as the CfP and we stay on tracks regarding the schedule.

Community Voting
Some really interesting discussions about it. Thanks! First, I think we all agree that offering the community to speak up about the submissions is a good thing. But we seem to not reach consensus on how to do it. So here is what I propose:
- The results will be solely indicative for the committee. The PC will choose the program, with or without taking into account the voting. We will need to be very clear about that fact in advance to avoid ambiguous situations like on OpenStack (see this mail thread for details http://lists.openstack.org/pipermail/community/2015-August/001261.html).
- For the early birds selection, we give the external submission system a try. We open it right after the end of the early-birds submission deadline for some days and do our selection after that.
- Depending on the popularity of this vote, we either reiterate the external system for the full program or we use the comment system on the website. I would consider the external voting system a success if we have more voters than we have talks submitted for the early-birds (e.g., if we have 20 talks, we would need 20+ voters to consider it a success).
- If we reuse the external system, we open it after the end of CfP.
- If we use the comment system, we will call for comments right after the early bird selection.
Are you ok with that compromise? We will need to decide about that topic by next Friday. If you feel we need another call to talk about it, please say it.
I am not sure I understand all this, seems to be rather complicated to me. Why not have the system open for community votes all the time (at that’s it)?
