[openpass-sc] Working Groups 2023 Program Plan and Budgeting Cycle Announcement

Dear Steering and Marketing Committees: Autumn is about to arrive which means Eclipse Foundation Working Groups must turn their attention to the annual process of program and marketing plan creation and submission for calendar year 2023.

This year we are strongly encouraging working groups to begin the development of both program plans and marketing plans before the end of September as candidate Program Plans must be approved by Steering Committees no later than November 4, 2022

Please see the following guidance:

Program Plan/Marketing Plan Development - Suggested Timeline

  • Solicit input/ideas from Working Group membership (Late September/Early October)

  • Draft Plans Created (Mid October)

  • Candidate Program Plan and/or Marketing Plan Approved by respective Committee (Due November 4, 2022)

As a reminder, the Foundation staff develops an associated working group budget based on the program and/or marketing plan priorities, as well as in support of the general activities of the working group.  The Steering Committee is then asked to confirm the budget is in alignment with their approved Program Plan.

Budget Development - Suggested Timeline

  • Eclipse Foundation develops draft budget based on Program/Marketing plan priorities (Early-Mid November)

  • Final Budget reviewed and confirmed by Steering Committee (Due November 19, 2021)

By way of reminder, Steering and Marketing Committees are peers.  There exists no implicit hierarchical relationship between the committees.  That said, the Marketing Committee’s plan needs to align with the goals and objectives established in the program plan.

To provide assistance with this process, we have arranged the following resources:

2023 Program Plan and Budget Process Deck

2023 Sample Program Plan Slide Deck Template (Make a copy or reuse past templates)

This is also the time for steering committees to review 2022 program plans with a view of completing any remaining achievable objectives and work with the Foundation team to do so. As a reminder, the Foundation applies the working group fees collected towards the program priorities in the year they are received.  Further, there is no carry forward of fees collected into the 2023 calendar year unless an exception for doing so has been pre-approved by the Executive Director.

Should you have any questions, please do not hesitate to contact your Program/Marketing Manager, Paul Buck or myself.

Best Regards,
